Vendor Policies & Guidelines
Please read all policies carefully before applying. These guidelines ensure a safe, fair, and well-run market for everyone. Some policies apply to all markets; others are specific to outdoor or indoor markets.
Payment deadlines vary by market type:
- Boston Open Market (BOM): Payment is due three weeks prior to each market date.
- Field Day: Payment is due within 48 hours of acceptance.
- Indoor Holiday Markets: Payment is due by the deadline listed in your acceptance email.
We do not offer refunds, as a variety of costs go into running each market that are paid ahead of time.
All payments should be completed through our Vendor Payments page.
NE Open Markets does not provide refunds for cancellations. Depending on the market and timing of your cancellation, credits toward future dates may be available (see the Cancellation Policy below and the market-specific sections further down this page).
Cancellation handling varies by market type. See the Outdoor Markets or Indoor Holiday Markets sections below for market-specific cancellation rules.
General principles across all markets:
- Once paid, cancellations typically result in forfeiture of fees
- Spots cannot be sold or transferred to another vendor
- As a courtesy, please email us as soon as possible if you need to cancel
To ensure a safe and positive market environment, all vendors are expected to:
- Act with respect toward all persons, their privacy and safety.
- Physical or verbal abuse toward fellow vendors, customers, or market management will not be tolerated.
- Treat all public and private property and equipment with respect.
Smoking or vaping is not permitted in the market area at any NEOM event.
Tax ID Numbers are required in Massachusetts. All exhibitors must be in compliance with State & Federal Tax Laws and display their Tax ID Certificate in their booth. This applies to both in-state and out-of-state vendors, at indoor and outdoor markets.

Vendors are strongly recommended to carry their own general liability insurance. Each vendor is solely responsible for damages resulting from the sale of unsafe or unsound goods, as well as any accidents occurring at a NEOM market.
By participating in any NEOM market, the vendor agrees to indemnify and hold harmless NE Open Markets LLC, the hosting venue/municipality, and their respective affiliates, employees, and agents from any and all liability, loss, or damages arising from the vendor's participation.
Before each scheduled market, vendors will receive a setup email with your space assignment, setup time, and any special instructions. Please review it thoroughly and arrive at your designated setup time to ensure a smooth process. Timing varies by market — see market-specific sections below.
Sharing a booth with another vendor is not allowed unless permission is granted by NE Open Markets in advance. Vendors may not sell or transfer their space to another vendor.
NE Open Markets, LLC managers and promoters reserve the right to remove, without refund or recourse, any exhibitor who misrepresents themselves or their product. The promoter reserves the right not to select vendors who may not be suitable for a given market. NE Open Markets, LLC reserves the right to amend or add to applicable rules at any time during and before the operating season without notice. The interpretation of all rules by the promoters shall be final.
In the event of any restrictions or evictions, NE Open Markets, LLC and its affiliates will not be liable for any refund of rental or other expenses.
- 40 lbs of weight per tent leg minimum, with weights facing inward toward your space.
- We strongly recommend sandbag tent weights.
- Not permitted: cinder blocks, bricks, water jugs, or single sandbags. Barbells are ok but cannot extend outside your space.
- If you do not have 40 lbs on each leg, you will not be permitted to set up your tent due to safety hazards.
- Only sturdy tents with white canopies are permitted.
- Any solid walls billowing into neighboring spaces, obstructing visibility, or causing your tent to shift in wind must be taken down immediately.
- Failure to comply will result in being asked to break down and leave the market.
- Outdoor booth spaces are 10 feet wide by 10 feet deep.
- Nothing can extend outside of your booth space — including displays, tent weights, chairs, tables, and signage.
- If a staff member asks you to move something inside your 10×10 space, please do so promptly.
- Vendors must bring their own setup materials including tables, chairs, tents, and weights.
NEOM outdoor markets operate as a rain or shine market. By participating, vendors acknowledge and accept all risks associated with unfavorable weather conditions.
- Keep your space tidy with excess stock and supplies hidden from view.
- Use floor-length tablecloths for display tables.
- Dispose of all trash at the end of the market.
- Certain spots may extend into mulch or tree areas. While not required, we strongly recommend bringing outdoor mats or rugs to keep your space clean.
For outdoor markets, here's how cancellations are handled:
- Standard indoor booth space is 6 feet wide by 4.5 feet deep — accommodates a standard 6' table.
- Corner spots are available at some markets at an additional fee.
- Your goods and displays must not extend outside your rented 6' × 4.5' area.
- Space assignments are made at the sole discretion of NEOM and are non-negotiable.
- Vendors are responsible for supplying and setting up their own booth displays, signage, and decorations.
- Additional stock and boxes must be kept hidden under your display.
- You must display your Business Name or Logo clearly at your table.
- Floor-length tablecloths are strongly recommended for a polished look.
Indoor venues are generously covered in bright overhead lighting. We cannot guarantee access to electricity at individual booths — please plan accordingly. If you need electricity for your display, let us know in advance and we'll do our best to accommodate, but it is not guaranteed.
Approximately one week before your market, all vendors will receive a detailed setup email with load-in times, space assignments, and parking/loading instructions. Load-in windows vary by venue.
- Vendors must be fully set up and ready for customers by the designated opening time (typically 30 minutes before doors open).
- Vendors are required to remain open for business until closing time.
- Early breakdowns and departures are strictly forbidden.
- Vendors must clean up their booth area at the end of the day. All trash must be disposed of properly.
Indoor venues have strict fire codes that all vendors must follow:
- No lit candles, open flames, or incense burning in booths at any time.
- Battery-operated LED candles are acceptable alternatives.
- Vendors selling candles may display unlit products only.
- Keep walkways and emergency exits clear at all times.
- No propane, butane, or fuel canisters of any kind.
- No outside food or drinks to be sold by vendors unless explicitly approved as a food vendor in advance.
- Packaged/sealed food products (jams, honey, baked goods, chocolates, etc.) are generally permitted for makers accepted as food vendors.
- Selling alcohol is not permitted at any NEOM indoor market.
- Food sampling may be subject to venue and municipal approval — please inquire before offering samples.
- No refunds, credits, or transfers will be issued for indoor holiday market cancellations.
- Once you cancel, you forfeit your fee and your spot in the market.
- Vendors are not permitted to sell or trade their space to another vendor.
- The market is hosted on active farmland. Please respect the property — no parking or driving on grass unless directed.
- Detailed load-in routes and parking instructions will be sent in your setup email approximately one week before the event.
- Vendors must unload quickly and move their vehicles to the designated vendor lot before setting up.
Field Day is a rain-or-shine event with a rain date of Sunday, June 7, 2026. In the case of severe weather, NEOM and Ward's Berry Farm reserve the right to postpone the event to the rain date or cancel entirely.
By registering for Field Day, vendors acknowledge and accept that the event may take place on either June 6 or June 7, and that a full cancellation due to weather results in forfeiture of the vendor fee.
Because Field Day is a single-day event, payment and cancellation handling differ from Boston Open Market:
- Payment is due within 48 hours of acceptance. If payment is not received within 48 hours, your spot may be released to the waitlist.
- If a vendor cancels after payment, no refunds or credits will be issued.
- There is no option to transfer your Field Day payment to another NEOM market.
- The rain date of June 7 is your guaranteed backup — we do not issue refunds if you cannot attend the rain date.
NE Open Markets, LLC shall not be held liable for the cancellation, postponement, or modification of any market event due to circumstances beyond our reasonable control, including but not limited to acts of God, severe weather, fire, flood, pandemic, government order or restriction, civil unrest, or failure of third-party venues or services.
In such events, NEOM will make reasonable efforts to notify vendors promptly and offer credits or rescheduling where possible, but no refunds will be issued. Participation in NEOM markets constitutes acceptance of this policy.
